1. Who we are

This Privacy Policy is issued by BALANCE PI FOR DIGITAL ADVISORY, Commercial Registration Number 198699-1, Kingdom of Bahrain ("balance pi", "we", "us"). For any question about this policy or your data, contact us at privacy@balancepi.com.

2. What we collect

We collect only what is needed to run the service:

• Account data — your full name, email address, and password (stored encrypted). Optionally, your role/title, company name, and phone number if you choose to provide them.
• Diagnostic inputs — your questionnaire answers, free-text descriptions of your organization, and any documents you choose to upload for analysis.
• Technical data — cookies and browser storage, as described in our Cookies Policy.

3. Why we collect it

We use your data to:

• Generate your behavioral diagnostic report and deliver it to you.
• Create and maintain your account, including your session history and points balance.
• Improve the accuracy and quality of the service.
• Send you newsletters and product updates, only if you have opted in — you can opt out at any time from My Profile.

4. Legal basis

We process your data on the basis of your consent, given explicitly at registration. You may withdraw consent at any time by contacting privacy@balancepi.com, though this may limit your ability to use the service. This policy is designed to comply with Bahrain's Personal Data Protection Law (Law No. 30 of 2018, "PDPL").

5. Where your data is stored and processed

We use the following processors to run the service:

• Account infrastructure — your account data and authentication are hosted on secure, reputable cloud infrastructure.
• AI diagnostic processing — your diagnostic inputs are processed by a specialized AI service provider to generate your report.
• Email delivery — transactional emails (account verification, password resets, report delivery) are sent through a dedicated email delivery service.

Each processor is contractually bound to handle your data only for the purpose of providing their service to us, and only for as long as needed to do so.

6. Retention

We retain your account data and diagnostic reports for as long as your account remains active, and for 5 years after your account is closed or becomes inactive, to allow you to recover access and for legitimate record-keeping purposes. You may request earlier deletion at any time — see Your Rights, below.

7. Your rights

Under the PDPL, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data.
• Request deletion of your data.
• Withdraw your consent at any time.

To exercise any of these rights, email privacy@balancepi.com. We respond within 30 days.

8. Data about others

Please do not include personal data about other identifiable individuals (employees, clients, colleagues) in your diagnostic descriptions or uploaded documents, unless you have the right to share it with us for this purpose.

9. Changes to this policy

If we materially change how we collect or use your data, we will update this policy and increment the version number above. We recommend checking this page periodically.
